Top Gun teams are committed to travelling, and those tournaments are part of the season. Every other program decides travel team by team, not family by family. Travel costs are on top of club dues and are capped per trip, with the deposit due in the month shown.
Two kinds of tournament, and they work differently. Read which one an event is before you book anything, because it decides whether you get to choose your hotel.
Some tournaments only let a team compete if it books through their housing partner. When an event works that way we meet the requirement, and then the whole team stays in the same hotel. That part matters as much as the rule does: the boys are together, the parents are together, and nobody is driving across town at 6am.
It usually costs a little more per night than a hotel you would find yourself. That is the trade, and it is not something the club can negotiate away.
No housing requirement, so families are free to book anywhere. What we ask is that parents work it out together and keep the cost down. Pick one hotel as a group, share rooms where families are comfortable doing that, watch for a team rate, and book early. Prices near a big venue only go one direction.
It works best when one or two parents per team take the lead and post what they find, so twelve families are not each solving the same problem alone.
